Reconstructing why it exists can take days. That gap is where most of the hidden cost of onboarding lives.<\/em><\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">A new expert joins the organization.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">They know the science. They understand the field. They have years, sometimes decades, of experience behind them.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">Yet three months later, they are still trying to understand why the organization works the way it does.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">The problem is rarely a lack of documentation.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">There may be hundreds of documents.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">Protocols. SOPs. Guidelines. Clinical study reports. Regulatory correspondence. Training materials. Meeting notes. Shared folders. Archived emails. Just not in the protocol.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">Part of it might be in an earlier amendment. Another part in a safety committee discussion. Because experienced professionals are rarely hired simply to follow existing rules. It does not necessarily explain why one interpretation was chosen over another when the policy was created. The instruction says what must be done. But nobody remembers what problem it was originally designed to prevent. Eventually someone simplifies the workflow. Same underlying problem. The organization preserved the <strong>instruction<\/strong>. They ask someone who was there.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">And very quickly, some of the organization\u2019s most experienced people become its unofficial search interface.<\/p>\n\n\n\n<ul style=\"margin:1.6em 0 1.9em;padding:4px 0 4px 26px;border-left:4px solid #BFDCF0\"><li style=\"margin:0 0 .55em;font-size:19px;line-height:1.6;color:#5E7186\">&ldquo;Why do we do it this way?&rdquo;<\/li><li style=\"margin:0 0 .55em;font-size:19px;line-height:1.6;color:#5E7186\">&ldquo;Was this a regulatory requirement?&rdquo;<\/li><li style=\"margin:0 0 .55em;font-size:19px;line-height:1.6;color:#5E7186\">&ldquo;Do you remember why this changed?&rdquo;<\/li><li style=\"margin:0 0 .55em;font-size:19px;line-height:1.6;color:#5E7186\">&ldquo;Which version should I be looking at?&rdquo;<\/li><li style=\"margin:0 0 .55em;font-size:19px;line-height:1.6;color:#5E7186\">&ldquo;Does this apply in this situation too?&rdquo;<\/li><\/ul>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">One question is harmless. Dozens of people asking variations of the same questions every week are not.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">The cost is not only the time spent by the person onboarding. But the reasoning chain is fragmented.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">That is why a folder containing every relevant document is not necessarily the same thing as an accessible knowledge base. The problem is not simply finding information. Documents are static because they need to be controlled.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">Correct. Protocols, procedures, policies and regulatory records need version control, approvals and traceability. That should not disappear.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">But document control and knowledge continuity are not the same thing. A version history can tell you that something changed from version 3 to version 4. A change log may even tell you which section changed. Their local copy does not.<\/p><\/div>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">Nobody deliberately decided to work from outdated information. Nobody may even notice. The employee simply continues using the document they originally received.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">In an informal environment, this creates confusion and rework. In a regulated environment, the consequences can be considerably more serious.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">This is sometimes treated as a version-control problem. But version control is only part of it. More training. More introductory meetings. More reading. More checklists. More documentation.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">Sometimes that helps. And it explains why highly experienced hires can still struggle during onboarding. They are not struggling to understand their profession. It needs to make their relationships visible.<\/p>\n\n\n\n<p class=\"has-medium-font-size wp-block-paragraph\" style=\"line-height:1.5\">Someone investigating a current rule should be able to understand where it came from, what changed it and which evidence supports it. Someone reviewing a requirement should be able to move back to the source that produced it.
